Terms & Conditions

  1. All dogs attending Pawtopia will undergo a ‘Meet & Greet’ to ensure that they are adequately trained and socialised to determine any specific requirements for each individual animal.
  2. Pawtopia will not confirm any booking until a ‘Meet & Greet’ has been carried out with the client and the Registration Form has been completed & signed with full details of client requirements.
  3. We are unable to accept aggressive dogs due to the terms of the Dangerous Dogs Act 1991.
  4. Pawtopia reserves the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the carer and/or other dogs.
  5. Pawtopia must be alerted to any behavioural problems with their pets at the time of booking. Failure to do so may result in cancellation of any future bookings.
  6. Cancellation charges for day care will be incurred unless booking is cancelled within the month before your dog is due to attend. For example, if you will need to cancel any days in September then you need to do so by the end of August (the month before) to ensure you are not charged. Cancellation charges are the full cost of day care.
  7. Cancellation charges for our dog hotel will be incurred unless booking is cancelled 1 month prior to day your dog is due to arrive. Cancellation charges are the full cost of your dogs stay at the dog hotel.
  8. If you are to collect your dog early from their stay at the Day Care you are not entitled to a refund.
  9. Pawtopia rates are charged from 07:00 – 19.00, Monday to Friday and 08:00 – 18:00, Saturday to Sunday & Bank Holidays for day care.
  10. Pawtopia rates are charged from 08:00 – 16:00, Monday to Friday and Pawtopia Pick Up and Drop Off Service.
  11. All dogs will be exercised in a fully secure field at Pawtopia unless you have given consent for your dog to be walked on a lead in our 2 acre field or even around the neighbouring fields.
  12. No dogs will be taken off of the facility during the hours of 07:00 – 19.00 unless due to extreme circumstances (all owners will be informed as soon as possible in this case).
  13. If your dog is aggressive or bites another dog or person Pawtopia will contact you or the emergency contact provided and arrange for the dog to be taken to them where possible. If this is not possible the dog will be moved to one of our kennels until you can pick it up or arrange someone to pick up the dog on your behalf.
  14. Dogs must have a suitable collar or harness and wear ID tags with owner’s details, as this is a legal requirement.
  15. You provide consent that if we deem it necessary to walk your dog outside our facilities then we will do so with your dog on a lead to ensure that consideration is given to the life stage, physical and mental health and breed when planning daily exercise, as it might be that the dog requires individual dog walking outside our facilities.
  16. If a Female dog is due a season at the time of attending the Day Care, Pawtopia must be informed prior to attending. Female dogs that are found to be in season may be turned away with a cancellation fee incurred.
  17. If a dog is not neutered/spayed Pawtopia will not be held responsible if your dog impregnates/is impregnated by other dogs.
  18. Dogs under one year of age should be accommodated in a separate social group but by signing these terms and conditions you give us consent for your dog to be mixed with other dogs. We only do this when the dogs are a suitable mix, and it will help them learn appropriate play from the older dogs.
  19. Pawtopia cannot accept un-neutered males/females over the age of 13 months old. As long as entire dogs under 13 months are not showing any unwanted behaviour they will be accepted.
  20. Pawtopia will apply personal judgment and alter timetables or cancel if necessary because of extreme weather conditions (i.e. heat, thunder storms) for the safety of both the dogs and the carer.
  21. All dogs attending Pawtopia should be fully vaccinated (Parvovirus, Leptospirosis, Hepatitis, Distemper) and on a regular flea and worm treatment. Proof of this must be shown before attending a ‘Meet & Greet’ day.
  22. The client must provide all items & information necessary for pets to be adequately cared for at Pawtopia in the client’s absence. (i.e., food, medication, leads, tags, collars, etc).
  23. If the owner doesn’t supply enough food, Pawtopia reserves the right to charge costs incurred for purchasing the food back to the client.
  24. In the unlikely event that Pawtopia is unable to uphold the agreed booking due to exceptional personal circumstances, you or your emergency contact will be contacted as soon as possible and we will try and help you find a suitable alternative.
  25. Home collection & drop offs can be provided for the Day Care by Pawtopia at an additional fee which will be arranged at the time of the meet and greet. Subject to availability. Collection times are between 08:00 – 10:00. Drop off times are between 16:00 – 18:00.
  26. If you are not using Pawtopia collection and drop off services. You will need to arrange for your dog to be dropped off at the Day Care between 07:00 – 09:00 and collected between 16:00 -19:00.
  27. If you cannot collect your dog on time from the Day Care due to unforeseen circumstances you may be charged additional costs. Where possible Pawtopia will arrange a drop off at a charge but if there is no availability you may have to arrange another form of transport for your dog.
  28. The client must provide Pawtopia with the name and contact number of someone capable of making a decision relating to the dog(s) in an emergency. If the contact is not available Pawtopia reserves the right to consult with a veterinary surgeon and then make a decision that is in the best interests of the animal.
  29. Pawtopia is registered with Tarivets, 94-96 Hutton Road, Shenfield, Brentwood, CM15 8NB. This will be the vet contacted in an emergency or Pawtopia will arrange to take your dog to the vets that you are registered with as stated on the membership form you would have filled in and signed. Pawtopia will always look to use their registered vets, as they are the closest at hand and have a close relationship with us.
  30. Any costs owed to Tarivets, 94-96 Hutton Road, Shenfield, Brentwood, CM15 8NB or your designated veterinary clinic, must be paid by you in full or insurance details given to the practice. By signing the Pawtopia T&C’s you will be agreeing to this.
  31. The client is responsible for any veterinary bills, no matter how they are incurred, whilst pets are in the care of Pawtopia.
  32. If your dog injures another dog or person you will be liable for any vets bills and costs incurred by Pawtopia or the owner of the injured dog.
  33. Owner understands and agrees that in admitting their dog to daycare/home boarding, Pawtopia’s staff have relied on their representation that their dog is in good health and has not harmed or shown aggressive or threatening behaviour towards any person or any other dog. Pawtopia reserves the right to deny admittance to Owner’s pet for any reason at any time. The Owner further agrees to be solely responsible for any and all acts or behaviour of said pet while it is in the care of the pet care provider, to include payment of costs for injury to staff or other animals or damage to facilities caused by the pet.
  34. Pawtopia will care for your animal as you would, and whilst we will make every effort to ensure your pet is well looked after in your absence, Pawtopia cannot be held liable for any loss, injury or death to a pet either inside or outside of the Day Care Facility whilst in our care.
  35. Pawtopia shall exercise reasonable care for the pet delivered by the Owner to the pet care provider. Owner recognises and accepts potential risks involved in daycare/home boarding and understands and agrees that dogs can sometimes receive minor cuts and scratches, injuries from rough play, contract canine cough, etc. If dog becomes ill or injured, or if the state of the animal’s health otherwise requires professional attention, Pawtopia, in its sole discretion, may engage the services of a veterinarian or administer medicine or give other requisite attention to the animal, and the expenses thereof shall be paid by the Owner.
  36. The Owner shall hold harmless Pawtopia, its staff, board members, volunteers and assignees for any damages or liability. Pawtopia will make every reasonable effort to ensure the safety, comfort and good health of the Owner’s animal(s). Pawtopia is not responsible for any accidents due to Acts of God, for example, tornado or fire.
  37. Owner specifically represents to Pawtopia that, to Owner’s knowledge, the pet(s) has not been exposed to any contagious diseases within a thirty-day period prior to check-in. During the period of this Agreement, Owner also agrees to notify Pawtopia of any known exposure of pet(s) to a communicable disease and hold pet out of attending Pawtopia until pet(s) is symptom-free for a minimum of 7 days or with written veterinary clearance. Owner further agrees to maintain currency of vaccinations as required by Pawtopia policy.
  38. The Customer will either ensure that access is given to Pawtopia to collect the Dog from the agreed address at the agreed times or give Pawtopia a key to the place where the Dog is kept. Pawtopia will use the key to collect and return the Dog and for no other purpose and will keep it safe, not let anyone else have it, not copy it and will return it to the Customer on demand.
  39. Access to your property must be straight forward i.e. keys should open doors easily or gates should be easy to open.  If I am unable to gain access into your property after making every reasonable effort you will still be charged for the walk.
  40. Where a dog flap is fitted, it is the owner’s sole responsibility to ensure that the garden and its fences are secure.  It is not Pawtopia responsibility to check this before leaving your dog following a walk.
  41. By signing the terms and conditions you are confirming that photos/videos of your pet can be posted on social media sites as well as our websites or apps.
  42. With the new GDPR law set to commence on 25th May 2018, Pawtopia requires your consent to hold information specific to you file. Examples of the information we hold for you would be names, postal address(es), e-mail address(es) and telephone number(s). Your details will not be released to any third parties (other than those required for legal compliance) and your consent is required purely for the use of Pawtopia. By signing the registration form you give consent for personal details to be held by Pawtopia.
  43. All charges incurred by Owner shall be payable on day of service starts, or when billed by Pawtopia at address listed on contract. Any pet(s) left for 14 days past the scheduled pick-up date will be deemed abandoned. Pawtopia will make all reasonable attempts to contact the owner. If, after all reasonable attempts have been made with no response, the animal(s) will become the property of Pawtopia, and as such, Pawtopia will have the authority to do with that animal(s) as Pawtopia sees fit. This action will not, however, relieve the Owner from paying all charges for services rendered and all legal and/or costs incurred with collection for services.
  44. Pawtopia cannot be held accountable for any damage or loss to the Fitbarks or their covers at Pawtopia.
  45. All clients will be deemed to have accepted terms and conditions on signature of the registration form.
